The broker-of-record letter, explained

A broker-of-record request asks the carrier to recognize a different broker for your account. Review the form and the transition before signing.

Quick answer
The request changes representation under the carrier’s rules. It does not itself request a change to your insurance policy, but servicing access, compensation, and vendor arrangements may have separate effective dates.

Separate the decisions

What to confirm
ItemHow to treat it
Insurance policyA broker change is separate from changing plans, benefits, carriers, or coverage dates.
Servicing authorityConfirm carrier acceptance and when the incoming broker can access and service the account.
CompensationConfirm the carrier’s commission rules and any separate fee agreement.
Vendor arrangementsCheck enrollment systems, COBRA administration, payroll connections, and outstanding work.
Existing agreementsReview notice, termination, and other contractual requirements with advisers as needed.

A practical transition sequence

  • Confirm the carrier, group numbers, products, and incoming broker’s eligibility to service them.
  • Use the current carrier form or accepted request format and an authorized signature.
  • Submit through the carrier’s required channel and confirm receipt.
  • Wait for written acceptance and effective dates before assuming access has transferred.
  • Agree who handles pending claims, enrollment changes, renewal tasks, and third-party services during the handoff.

Timing varies by carrier and product

As one specific example, Premera’s Washington small-group General Agency of Record Change form requires receipt at least 15 days before the first of the requested effective month. That is not a universal rule for every carrier, product, commission arrangement, or cancellation process. Confirm the current requirements for your account.

Before you decide

Ask for the proposed service arrangement, any separate charges, and the transition plan. A comparison conversation can come before a decision to sign. The employer still needs to review and authorize the request.
